Job Description

Job Purpose The Professional Development Services (PDS) Coordinator provides complex administrative assistance and project support functions to optimize staff resources within the PDS team.

Essential Functions:

•Provides administrative support and project assistance to the PDS team to optimize staff resources. Performs complex and specialized administrative functions, which includes project support and coordination, classification and interpretation of complex data, development and preparation of customized reports, development and documentation of procedures, development of forms and schedules of a fairly involved nature, maintenance of records and other reference data in accordance with approved procedures, website content development and posting. Examples of duties include: Credit card reconciliations, expense reimbursements, invoice processing, processing mailings, responding to member inquiries, supporting collateral development, compiling reports, maintaining databases, and facilitating requests and contractual agreements.

•Maintains record keeping system to track and retrieve specific correspondence or other general and/or specific communications, maintains contract routing and tracking system, and implements other systems related to the successful functioning of the PDS staff.

•Recognizes project nuances, nimbly adjusts to changing priorities, and in a proactive problem solving manner, communicates with the appropriate person(s) regarding changing priorities.

•Assists with the execution of event planning. Performs event planning in collaboration with appropriate project managers which includes any or all of the following functions depending on the size of the event: contract review; travel arrangements; determines conference room set-up and configuration; décor and menu selection; coordinates speakers; develops event materials; prepares event marketing/communication; oversees event registration; ensures event funding; identifies and secures sponsors; develops budget projections and tracking; and performs general event oversight.

•Develops and maintains strong relationships with stakeholders in other ISTE departments in order to understand and collaborate on improvements to program offerings and departmental support.

•Coordinates logistics for internal cross-department collaborations as well as external collaborative processes with key partners, committee members, and ISTE membership at large.

NOTES:
Additional Salary Information: Benefits are effective the first of the month following 30 days of employment. Medical, vision, prescription, and dental insurance. Requirements
Typically requires: Bachelor’s degree in education, management, business, marketing, communications, or public relations; 2 years of complex and responsible administrative support experience OR equivalent combination of education and experience.

Experience working with the revenue producing arm of a non-profit organization, membership association, or within the field of Education.

Determines priorities and allocates time and resources effectively. Ability to multi-task while handling multiple projects and effectively problem solve in a fast-paced environment.

•Communication: Expresses ideas, thoughts and concepts effectively both verbally and in writing, using correct and appropriate grammar, organization and structure; creates accurate and punctual reports, delivers presentations, shares information and ideas with others, has good listening skills.

Has good listening skills, builds strong relationships, is flexible/open-minded, negotiates effectively, solicits performance feedback and handles constructive criticism effectively. Physical and Environmental Elements: This is primarily a sedentary office classification. Employees work in an office with moderate noise levels, controlled temperature conditions and no direct exposure to hazardous physical substances.

Finger dexterity is needed to access, enter and retrieve data using a computer keyboard, typewriter keyboard or calculator and to operate standard office equipment. The position occasionally bends, stoops, reaches, pushes and pulls drawers to retrieve and file information and lifts and carries reports and records that typically weigh less than 20 pounds.

Some business travel required which includes both air and land transportation. It may be necessary to handle personal luggage and operate a motor vehicle. The position must occasionally lift and/or move up to 50 pounds when preparing for a conference, meeting, or exhibition.
